# Archiving and Deleting Scorecards

> Manage scorecard storage with archive and delete options

Waffle provides two ways to remove scorecards from your active library: **archiving** (soft-delete with recovery) and **permanent deletion**. Understanding the difference helps you manage your scorecard storage effectively—especially on the Free plan, where active scorecard limits apply.

## Archive vs Delete

### Archive (Soft-Delete)

When you **archive** a scorecard, it's moved to the **Archive tab** in your library. The scorecard is hidden from your main view, but it's not gone forever—you can restore it anytime.

**Key points:**

* Scorecard moves to the Archive tab (still accessible)
* Can be restored with one click
* Reduces your active scorecard count (important for Free plan users)
* On Free plan: Archived scorecards auto-delete after 30 days
* On paid plans: Archived scorecards retained indefinitely

### Delete (Permanent)

When you **delete** a scorecard from the archive, it's **permanently removed** from your account. This action cannot be undone.

**Key points:**

* Scorecard is permanently removed
* Cannot be recovered
* Frees up storage space
* Only available from the Archive tab (you must archive first, then delete)

  Deletion is permanent and cannot be undone. Make sure you no longer need the scorecard before deleting it from the archive.

## How to Archive

There are two ways to archive a scorecard:

### From a Scorecard Card

1. Hover over any scorecard card in your library
2. Click the **archive button** (box icon) that appears
3. The scorecard immediately moves to the Archive tab

### From the Detail Page

1. Open the scorecard detail page by clicking a card
2. Click the **archive button** in the page header (near favorite/export buttons)
3. The scorecard moves to the Archive tab

Once archived, the scorecard disappears from your main library view. Your **active scorecard count** decreases, which is especially useful on the Free plan.

## Restoring from Archive

To bring an archived scorecard back to your active library:

1. Navigate to the **Archive tab** in your library (next to the main "Library" tab)
2. Find the scorecard you want to restore
3. Click the **Restore** button on the card
4. The scorecard returns to your active library

Restored scorecards appear in your main library grid as if they were never archived. All content (competencies, questions, rubrics) remains intact.

  Archive older scorecards you're not actively using to free up space on the Free plan. You can always restore them later if you need them again.

## Free Plan Storage Limits

The **Free plan** allows **3 active scorecards** at a time. Once you've created 3 scorecards, you'll need to archive or delete one before generating a new one.

### How Archiving Helps

Archiving a scorecard frees up a slot for a new one. Here's the flow:

1. You've created 3 scorecards (at the Free plan limit)
2. Archive an older scorecard you're not using right now
3. Your active count drops to 2
4. You can now generate a new scorecard

This gives you flexibility to rotate scorecards based on current hiring needs without upgrading—though archived scorecards on the Free plan will auto-delete after 30 days.

### Auto-Deletion on Free Plan

To prevent storage abuse, **archived scorecards on the Free plan are automatically deleted after 30 days**. You'll receive a reminder email before deletion happens, giving you a chance to restore any scorecards you want to keep.

**Timeline:**

* Day 0: You archive a scorecard
* Day 23: Email reminder (7 days left to restore)
* Day 29: Final email reminder (1 day left)
* Day 30: Scorecard permanently deleted

On **paid plans** (Starter, Growth, Scale), archived scorecards are retained **indefinitely**—no auto-deletion.

## Paid Plan Storage

Paid plans have **unlimited active scorecards**, so you don't need to archive scorecards to free up space. However, archiving is still useful for:

* **Organizing your library**: Hide outdated or experimental scorecards
* **Reducing clutter**: Keep your main library focused on current hiring needs
* **Cleanup**: Move old scorecards to the archive before eventual deletion

Archived scorecards on paid plans **never auto-delete**. You control when (or if) they're permanently removed.

## Bulk Archiving

You can archive multiple scorecards at once using the **bulk action** feature:

1. Hover over scorecard cards to reveal selection checkboxes
2. Check multiple scorecards
3. Click **"Archive selected"** in the bulk action toolbar

This is helpful when cleaning up your library or rotating scorecards on the Free plan.
